Managing Your Team

If you're an owner or admin of an existing Team or Enterprise workspace, you manage it from the Team page in the sidebar. Members see a simpler version that confirms their access. New self-serve Team subscriptions are no longer offered; this guide covers servicing an existing workspace.

Seats

The Seats panel shows, at a glance:

  • Used — seats currently filled by active members.
  • Purchased — total seats you're paying for.
  • Available — open seats you can still invite people into.
  • Pending — invites you've sent that haven't been accepted yet.

If you need more seats, open Manage billing to review the options supported by the existing Stripe subscription, or contact hello@scholarly.so. Each active seat has its own configured weekly AI-credit allowance.

Inviting teammates

In Invite teammates:

  1. Enter one or more email addresses (up to 100 at a time).
  2. Choose a role for the invitees — Member or Admin.
  3. Send the invites.

Invites are emailed to each person. An invite stays pending until it's accepted and expires if it isn't used in time. Each accepted invite fills one available seat, so you can't invite more people than you have open seats — add seats first if you need to. Members and roles

The Members list shows everyone on the team. As an admin you can:

  • Change a member's role between Member and Admin.
  • Remove a member. They lose team access immediately, and their seat frees up for someone else.

Pending invites appear in their own list, where you can resend or revoke them.

Model access

The Model access panel controls which AI models the whole team can use. Toggle:

  • Standard paid models — paid Standard models on creation surfaces (slides, video, flashcards, research).
  • Frontier models — higher-cost models reserved for eligible Enterprise workspaces. These use more credits per generation, so turning them on spends members' credits faster.
  • Extended open-source catalog — the full open-source model lineup beyond the curated defaults.

These settings apply to every member. If your team wants to make weekly credits last, leaving Frontier models off keeps costs down. See How AI Credits Work.

Billing and usage

The Billing & usage panel is where you:

  • Manage billing — open the Stripe portal to change seats, update payment details, switch between monthly and yearly, and download invoices.
  • View usage — see each member's weekly AI credits: how many are left, what's included, when they reset, a per-feature/per-model breakdown, and a Usage by member view of the whole team.
